Centralize Guarantor Documents
Guarantor documents fail in a way tenant documents do not: they come from a third person, often a parent or employer who never met the agent, and they arrive as phone photos forwarded by the applicant. A lettings portal for guarantor files is useful here because it gives that person their own checklist instead of parking everything in the tenant's inbox.
What follows is the lettings practice around a private guarantor — identity, address, income — plus how institutional schemes such as Visale change the list. Check local equivalents before you copy the items; the workflow of asking, reviewing and separating the packs is the part that travels.
Why do guarantor papers never stay with the tenant file?
Because they do not start there. The tenant is motivated to send their own ID and payslips; the guarantor's papers sit on someone else's phone, and the usual request is "can you get your parents to send that". What comes back is a WhatsApp image, sometimes of the wrong person, sitting in a thread that also contains viewing times and a deposit question.
The agency then has two problems that look like one. The file appears incomplete, so someone chases the tenant again; and the documents that did arrive have no home, so they are saved under the tenancy name. Six months later nobody can say whether the guarantor's tax notice was ever received, which is how incomplete files hide a missing third party rather than a missing tenant.
Centralising starts by treating the guarantor as a contributor, not as an attachment to the applicant. Once their items live on their own checklist, the tenant file can be complete while the guarantor pack is still open — which is information, not a contradiction.
What belongs in a complete guarantor pack?
For a private individual, four proofs and nothing extra: official identification, proof of address, proof of income (typically recent payslips plus the latest tax notice), and evidence of the employment or pension that produces that income. Ask for each as a named item with an accepted format, the same discipline as a document checklist rather than a single request for "the guarantor's papers".
Where the guarantor is a company, the list changes: company registration, authority to bind the company, and accounts, not a director's personal payslips. Mixing the two lists is how you end up chasing a registration extract from a retired parent.
Institutional guarantees such as Visale replace the private pack rather than sitting beside it. If the scheme is accepted, close the private-guarantor items as not required instead of collecting both "in case" — extra personal data you do not use is a retention problem, not a safety margin.
Checklist
- Official identification for the named guarantor, matching the undertaking
- Proof of address dated within the last three months
- Income evidence: recent payslips and the latest tax notice, or accounts for a company
- Employment or pension evidence — or company registration where a legal entity guarantees
How do you collect from a guarantor who never visits the office?
Send the request to them, not through the tenant. A unique magic link to their own items lets a parent in another city upload without creating an account and without seeing the tenant's bank statements. Asking the applicant to chase their guarantor recreates the WhatsApp pile you were trying to leave.
Phone photos of ID and payslips are the normal format, not an exception. Tell them a readable photo is acceptable, and point them at a phone-image to PDF converter when the file is too large or in several pieces — better that than a second round because the first JPEG was unreadable.
Remind the guarantor about their outstanding items, not the household. A chase copied to the tenant for someone else's tax notice trains both people to ignore you, which is the same suppression rule described in chasing only what is still outstanding.
How do you stop tenant and guarantor documents mixing?
The two packs answer different questions. The tenant file shows whether the applicant can occupy; the guarantor pack shows whether someone else will pay if they do not. Saving both under the tenancy name makes that distinction invisible, so a complete tenant file is reported as incomplete because a guarantor payslip is missing — or the reverse, a tenancy is approved with no guarantor on file because the ID in the folder belonged to the applicant.
Keep separate checklists, separate contributors, and separate access. The guarantor should not see the tenant's income; the tenant should not be able to replace the guarantor's ID with their own. Role-based access is what makes that true rather than a naming convention in a shared drive.
This is also why building the tenant file online and centralising guarantor proofs are different jobs that happen to share a tenancy. One structured place for both is useful; one undifferentiated folder for both is how documents disappear.
When is a guarantor pack actually ready to use?
When every item is approved, not when the last file arrived. Received is not accepted: a cropped ID, a payslip that does not match the name on the undertaking, or a tax notice two years out of date still leaves you without a guarantor. Record who checked each item and the date, so a colleague can pick the file up the week of move-in.
Match the identity on the documents to the identity on the guarantee. A parent who uploads their own papers but whose name is not the name on the undertaking is not a guarantor yet — that is a consent problem, not a filing problem.
Then stop collecting. Close unused items, including private-guarantor proofs you skipped because Visale was accepted, and tell both parties that nothing further is expected. An open request after the tenancy starts is how extra copies of ID accumulate with no purpose.
Frequently asked questions
- Should the tenant collect the guarantor's documents for you?
- No. Send the guarantor a direct link to their own items. Tenant-forwarded photos mix identities, lose pages, and leave you unable to ask a follow-up of the person who actually holds the document.
- What does a private guarantor usually need to provide?
- Official ID, a recent proof of address, income evidence (payslips and tax notice), and proof of the employment or pension behind that income. A company guarantor provides registration and authority to bind, not personal payslips.
- Does Visale replace a private guarantor pack?
- If your agency accepts the scheme, yes — close the private items as not required rather than collecting both. Institutional cover and a private undertaking are alternative routes, not a double file.
- Can guarantor documents live in the same folder as the tenant's?
- Not as an undifferentiated pile. Keep separate checklists and access so you can see which pack is incomplete, and so the guarantor cannot see the tenant's income documents.
DocuCollect gives the guarantor their own items, a magic link that does not expose the tenant's file, and a status that distinguishes received from approved — see the real estate client portal used by agencies or view pricing.
