Incomplete Client File

We have to face the facts: incomplete customer files have always existed, regardless of the industry or process. And as long as companies continue to rely on email, they will always exist. Unfortunately, customers are often unaware of the extra work that an incomplete file creates. Furthermore, requests for files are often not specific enough and can mislead the customer.

Customers Forget: The Incomplete Client File

Let's put ourselves in the customer's shoes for a moment: Gathering supporting documents or information is often a process they go through very infrequently. If this process occurs no more than once a month, then the customer forgets and has to start from scratch in learning the process and figuring out what information is needed. This is especially true since each customer is often a little different.

We therefore realize that incomplete customer files are, in fact, inevitable. So, the goal shouldn't be to avoid having incomplete files. Instead, it's crucial to understand this and ensure that the document collection process is automated, as frustration-free and as easy as possible, for both the customer and the company.

A Form or Portal That's Not Well-Suited—or Not Suited at All

If only it were just the customer's fault—that would be too easy. These days, companies tend to rely on tools that aren't at all well-suited. Of course, email will remain a key tool and a cornerstone for businesses. It's still the default option, to be sure, but email comes with many limitations and issues that contribute to the overall customer experience.

There are also tools like Dropbox or Google Drive, which help by avoiding endless email chains, but it's still quite tedious to have to create folders, send permissions, and make sure people understand how it works, etc. Furthermore, these are static tools, so there's no feedback or comments, meaning the company and the client will still be forced to rely on email to communicate.

It's also worth mentioning companies and clients who use WhatsApp to send confidential and sensitive files, which is really not ideal.

And I won't go into too much detail here about the size of attachments or the formats that are often sent but aren't compatible (.jpeg).

Emails are tedious.

We often resign ourselves to using email because it's one of the oldest digital tools we're accustomed to. It plays a dominant role in both our personal and professional lives. It's also a tool that spans generations and is quite versatile. From my perspective, unfortunately, email often contributes to frustration and creates a tiring and tedious environment for company employees.

The problem is that by trying to handle everything via email, we end up accumulating mountains of messages to process. We therefore find ourselves stuck writing emails all day long, even though much of the communication that takes place through this channel—which was originally designed as a simple communication tool—should instead be conducted on other platforms intended for that purpose.

The Obvious Solution: Automating Client File Collection With a Dedicated Portal

But then one wonders why no tool has been developed to handle incomplete files and document collection. It's surely because many tools do the job well enough—as long as you aren't too demanding and don't mind the back-and-forth with clients.

We don't realize that beyond the wasted time, it's mainly the energy and frustration caused by these processes that, little by little, will demotivate an employee—or even a company that will be overwhelmed by these administrative processes gradually taking over.

That's why DocuCollect specializes in resolving incomplete customer files and collecting documents. It consolidates into a single interface the precise list of required documents, statuses indicating compliance or non-compliance, and comments that keep all communications, questions, and issues in one place—eliminating the need for email. In addition, there are many other features, such as email reminders, which the platform sends automatically so that employees don't have to send emails and follow up with customers themselves.

To date, there is no other tool with these features designed to prevent incomplete files and simplify document collection. Furthermore, at DocuCollect, we have managed to keep our prices competitive, because we know that replacing email requires a highly competitive approach.
