DocuCollect is client portal software for professional teams that collect the same documents again and again. This page says who builds it, where client files are stored, and which legal entity you are dealing with.

Who builds DocuCollect

DocuCollect is built and operated by Benoit Ammermann, a cloud engineer based in Barcelona, Spain. He is the person named as responsible for this website, and the author of the guides and blog posts on docucollect.app.

The byline on each article links to his public LinkedIn profile. The same name, postal address, and contact email (contact@vivflow.com) appear on the legal notice.

What teams use it for

Accountants, law firms, agencies, mortgage brokers, and estate agents repeat the same document packs. Email, shared drives, chat threads, and static forms do not show which item is still missing, approved, or rejected.

A company builds a checklist, invites the client with a passwordless magic link, and approves or rejects each item with a comment. The client only fills in what is still open. One person can work with more than one company; each company only sees the documents submitted to them.

Where client documents are hosted

Application data, uploaded files, and authentication run on Supabase — managed Postgres, Storage, and Auth — in the eu-central-1 (Frankfurt) region. The website is served from Vercel's edge network. Transactional email (magic links, invitations, and reminders) goes through Brevo. Paid orders are processed by Paddle.com as Merchant of Record.

Production tenant data is not stored with a provider outside the EU. Tenant tables are protected by Postgres row-level security, and the company id comes from the signed-in session on the server, not from the browser. Files are downloaded over HTTPS through authenticated routes. The Security page lists these controls and how to report a vulnerability.

The legal entity

DocuCollect is operated by Benoit Ammermann as a natural person, not through a separate registered company. "vivflow" is the trading name and the domain used for contact and billing. It is not a distinct legal entity. Postal address: Pg Marítim 19, 08005 Barcelona, Spain.

There is currently no company registration number and no VAT number. The legal notice is the page that records that fact, and it will be updated if a company is registered. The terms of use are governed by the laws of Spain.

How sign-in works

Company users and clients sign in with a single-use magic link sent by email. There is no password database. The link carries a hashed token that the server checks once, and the session is stored in an httpOnly cookie.

A client is not locked to one company. The same person can complete a checklist for an accountant and another for an agency. Each company only sees the documents submitted on its own invite.

Billing, trials, and refunds

Start, Plus, and Pro include a three-month free trial. No charge is taken until the trial ends. Paid subscriptions are billed by Paddle.com as Merchant of Record, which handles checkout, tax, and the customer billing portal. List prices on the pricing page are in EUR and include VAT.

Paid subscriptions have a 30-day no-questions-asked refund. How to request it is on the refund policy. You can cancel from the billing settings. Enterprise does not include the self-serve three-month trial.
